Annotate Screenshot and Still Extract Text on Windows

The classic dilemma: you need to highlight an error for the ticket, but annotation turns text into pixels. Now you have a pretty image and no extractable text.

CaptureOCR solves this: annotate, beautify, and OCR in the same window. The beautified image still yields text.

The Annotation Problem

Traditional Flow Pain
Screenshot → annotate in Paint/ShareX → save Text becomes pixels, unsearchable
Screenshot → OCR → annotate → save Two tools, text and annotation separate
Need both visual + text Compromise: one or the other

CaptureOCR: Annotate → Beautify → OCR in One Window

1. Capture Regions

Ctrl+Shift+X → drag regions → auto-numbered ①②③.

2. Run OCR (Optional First)

Click “Recognize” → text extracted, stored per region.

3. Annotate & Beautify

Switch to Canvas tab. Tools available:

Tool Use Case
Arrow Point to error, highlight field
Rectangle Box around important area
Ellipse Circle a button/icon
Text Add label, note, red text
Highlight Yellow highlighter for key numbers
Mosaic/Blur Hide sensitive data (PII, tokens)
Gradient background Clean presentation look
Shadow Depth for documentation
Rounded corners Modern card style

4. Text Survives Beautification

Key architecture: OCR runs on original captured regions, not the beautified composite.

Original region ① → OCR → Text stored
Canvas: region ① + arrow + highlight + gradient → Export PNG
Text from region ① → Still available in Markdown/CSV export

Result: You get both:

Real Workflow: Bug Report

Before CaptureOCR

  1. Screenshot bug
  2. Open in Paint → red arrow → “ERROR HERE” text → save
  3. Open in Snipping Tool → Text Actions → copy text
  4. Paste text into Jira description
  5. Attach annotated PNG
  6. Realize you missed a line in stack trace → repeat

With CaptureOCR

  1. Ctrl+Shift+X → capture error dialog (①), stack trace (②), logs (③)
  2. Auto-OCR runs (Fast mode, ~200ms total)
  3. Canvas tab → add red arrow on error code, mosaic on customer ID
  4. Gradient background + rounded corners → professional look
  5. Export → Markdown + PNG
  6. Paste Markdown into Jira description, attach PNG
  7. Done in 30 seconds

Output files:

| # | Region (x,y,w,h) | Line | Confidence | Text |
|---|---|---|---|---|
| 1 | (200,150,400,120) | 1 | 0.998 | Error 0x80070057: The parameter is incorrect |
| 2 | (200,300,500,400) | 1 | 0.995 | at System.IO.File.Open(String path, FileMode mode) |
| 2 | (200,300,500,400) | 2 | 0.991 | at MyApp.Services.FileService.ReadConfig() |

Export Options with Annotations

Export Includes Annotations? Includes OCR Text?
PNG ✅ Full canvas ❌ (image only)
Markdown ❌ ✅ Structured table
CSV ❌ ✅ With coordinates/confidence
TXT ❌ ✅ Plain text blocks
.snipx session ✅ (in JSON) ✅ Full session

Pro tip: Export both PNG (for visual) and Markdown/CSV (for data). Attach both to ticket.

Use Cases Where This Shines

1. Technical Documentation

2. Support Tickets

3. Design Review

4. Training Materials

5. Compliance/Redaction

Compare: Annotation + OCR Tools

Tool Annotation OCR Both Together Text Survives
CaptureOCR ✅ Full suite ✅ PP-OCRv6 ✅ Same window ✅ Original regions
Snagit ✅ Excellent ✅ Built-in ⚠️ Separate steps ❌
ShareX ✅ Good ❌ ❌ N/A
Windows Snipping Basic ✅ ❌ N/A
PowerToys ❌ ✅ ❌ N/A
Paint/Photos Basic ❌ ❌ N/A

Pro Tips

1. OCR First, Annotate After

OCR runs on clean originals. Annotate freely — text already captured.

2. Mosaic Before Export

Apply mosaic/blur on canvas → export PNG. Original regions untouched.

3. Use Highlight for “Searchable” Emphasis

Highlight tool adds semi-transparent color. Text underneath remains in OCR output.

4. Session Package for Collaboration

Export .snipx → send to colleague. They open in CaptureOCR → see annotations, re-export with different settings, continue work.

5. Keyboard Shortcuts (Canvas)

| Action | Shortcut | |——–|———-| | Select tool | V | | Arrow | A | | Rectangle | R | | Text | T | | Mosaic | M | | Undo | Ctrl+Z | | Delete | Del |

Limitations

Get Annotate + OCR Working
